We are seeking a Project Administrator to assist with a large project currently underway in downtown Auckland.  You will have previous project based experience to ensure that you can hit the ground running, along with being able to manage stakeholder relationships between suppliers, project managers and internal teams.  This position is for a fixed term of 2 years.

 Key Responsibilities:

  • Developing and controlling the purchasing plan and procurement forecasts
  • Purchasing and controlling logistics of materials and equipment required
  • Controlling timekeeping of jobs and job numbers
  • Working with field staff and project managers on improving compliance to company policies and procedures
  • Monitoring tasks/work productivity and project construction programme
  • Liaising with and coordinating subcontractors and their contract arrangements
  • Controlling project documentation and quality assurance processes
  • Carrying out site inductions, site controls and compliance with site QSE procedures
  • Controlling construction drawings, as built mark-ups, final as-built manuals
  • Controlling project financial matters to tender budget
  • Controlling job variations with supervisors and main contractors
  • Administering productivity targets, using labour monitors and staffing level forecasts, which are completed and forwarded to Project manager monthly
  • Preparing documentation for Project Manager's reporting on month end job status and financials
  • Processing debtor & creditor invoices
  • Entering payroll information from timesheets
  • Maintaining project/contract folders and filing of documents
  • Organising monthly meetings and taking meeting minutes at monthly meetings
  • Providing ad hoc administrative support

 Key skills sought include:

  • 3+ years' experience in a construction admin capacity
  • Experience with electrical installation and maintenance
  • A thorough knowledge of current regulatory and industry requirements
  • Commercial and contractual experience or background would be advantageous
  • Sound computer skills and experience
  • Ability to write complexed reports
  • Excellent time management, prioritisation and multitasking skills with the ability to adapt to changing priorities
  • Great communication skills
  • Excellent attention to detail
