The Parts Sales Co-ordinator is responsible for the delivery of high level service to all our WesTrac Customers ensuring they receive an exceptional, quality, customer service experience.

This is a ‘front of house’ customer facing sales role requiring a self-motivated, efficient, proactive individual to maintain our high level of quality end to end customer service achieved by delivering a professional response to all enquiries; either by face to face, phone or email. To be successful in the role you must have the ability to listen, understand and interpret the customers’ needs ensuring that WesTrac parts orders and enquiries are processed in a timely and accurate manner.  

Job Duties

Reporting to the Parts Sales Supervisor you will be working within an experienced supportive team environment offering ongoing training and development. To be successful in this role you will be able to demonstrate the following skills and abilities:

  • Provide end to end customer service including introductions, service and assistance to WesTrac customers either via email, face to face or phone and establish the customer’s needs (e.g. general enquiry, parts order or parts pricing) for prompt outcome
  • Ensure WesTrac parts orders and general enquiries are processed in a timely and accurate manner.
  • Interpret customer needs and utilise specialised parts knowledge to correctly identify customer requirements
  • Follow all WesTrac and Caterpillar procedures
  • Follow ISO9002 procedures
  • Interpret customer needs to correctly identify the parts they require
  • All reports to be completed by the end of each month. These include but are not limited to, service reports, time sheets; parts return forms, pre-delivery forms.
  • Ensure all parts which are not available immediately from stock are expedited as per business procedure
  • Proactively engage customers by completing cold calling and follow up to offer alternative solutions to gain incremental parts sales
  • Provide manage and proactively follow up with all quotes to customers and track Leads/Opportunites in CRM/SAP
  • Record lost sales through Dealer Business System (DBSi)

Essential Criteria

  • Minimum 5 years in a similar customer service role
  • Provide exceptional, courteous customer service and assistance in all aspects or product offerings and services
  • Successful completion of secondary education
  • Excellent conflict resolution skills and demonstrated experience in navigating challenging situations
  • Excellent communication skills (written, verbal and interpersonal)
  • Intermediate computer literacy skills (MS Office Suite and internet based applications) with demonstrated data entry experience utilising multiple computer systems
  • High level problem solving skills with the ability to ask the right questions to understand and resolve problems
  • Excellent time management skills and the ability to manage multiple tasks in a high pressure environment
  • High level attention to detail
  • Ability to work successfully within a team and autonomously
  • Demonstrated mechanical aptitude with an ability to interpret procedures in a logical way

Whilst not essential, a mechanical trade qualification and familiarity with Caterpillar processes or equipment would be regarded favourably.   • Previous exposure to equipment parts within mining, construction, automotive industries
  • Mechanical trade qualification
