As the Team Assistant, working in our Asia Pacific (APAC) head office in Sydney, reporting to the Vice President, Marketing & Services, you will be responsible for providing general administration, process management and project/event support to the Marketing team across a number of countries in the Asia Pacific region.

 

Why is this the right role for you? In this role, you will:

 

  • Provide efficient support for appointments, diary management, travel bookings and itineraries.
  • Arrange internal and external meetings, events and conferences, including catering; creation and management of online registrations; book meeting rooms; write and distribute meeting minutes; room set up and welcome packs.
  • Coordinate attendees and logistics at events and conferences including transfers, catering, agenda changes and movements of key facilitators, staff and attendees.
  • Effectively manage event budgets and post-event regional cross charges of expenses.
  • Coordinate and process all APAC Marketing invoices and payment of suppliers and ensure all invoices have purchase orders created. Manage invoices through to payment and resolve any issues that arise.
  • Coordinate monthly reports and other report submissions.
  • Attend and take minutes of Marketing & Services meetings.
  • Assist with the maintenance and management of APAC communications artwork.
  • Liaise with country based marketing teams to determine print or promotional item needs and order size and coordinate the shipping and delivery of items.
  • Coordinate management of marketing materials as required.
  • Provide assistance and back-up to other administrative staff, as required.

  • 5+ years’ experience in administration, events and/or team assistant role
  • Strong customer service skills
  • Experience co-ordinating events (with internal and external stakeholders)
  • Ability to multitask, prioritise and meet agreed timeframes
  • Demonstrated high level of attention to detail
  • Excellent organisational skills
  • Sense of urgency and able to work autonomously
  • Proficient in Microsoft Word, Excel and Power Point and ability to learn new systems
  • Outstanding team player and with proven experience in working with customers
  • Strong verbal and written communication skills
  • Demonstrated initiative, flexibility, enthusiasm and commitment

 

Ideal:

  • Background in life sciences (medical devices/pharmaceuticals)
  • Experience working in the Asia Pacific region
