The Company and Role:
Our client provides innovative and mission-critical solutions for a range of organisations within the Aviation sector. They partner with a prestigious portfolio of clients to deliver first class engineering solutions to meet complex requirements. They are searching for a new Office Administrator/Executive Assistant to join their friendly and dynamic team. You will be responsible for a combination of all-around office duties, in addition, to support to the Executive Team. This is a full-time permanent position. The incumbent will be based at their offices in Botany. Free parking is available on site.
Responsibilities:
Office Administrator:
- Reception duties (answering phones, welcoming visitors etc)
- Attend to daily enquiries (email, phone calls etc.) with the highest level of professionalism
- Update phone list as required
- Prepare and submit expense claims as required
- Travel management
- Diary management
- General administrative support
- Courier and mail management
- Coordinate office events and catering
- General office maintenance/ housekeeping (ensuring the office is tidy, managing stationary, keeping kitchen clean and grocery requirements).
Executive Assistant:
- Acting as the point of contact between the executives and internal or external colleagues
- Organising meetings and booking meeting rooms
- Handling correspondence directed to managers
- Making travel arrangements and detailed travel itineraries
- Producing reports and presentations
- Maintaining the current filing and database system, and looking for ways to improve current systems
- Assisting workflow of C-levels to the best of their ability.
The Person:
- Previous experience as an Executive Assistant / Office Administrator
- IT savvy - competent with the Microsoft Suite - Outlook, Word, PowerPoint, Excel
- Highly organised with strong attention to detail
- Proactive and motivated
- 'Hands-on' implementer with strong self-management skills
- Excellent communication skills - verbal and written
