Two Personal Assistants are required urgently to organise the managers by supporting in administration, communication and information/workflow management, and help enhance the organisations brand and the manager's profile, partnerships and relationships with key stakeholders and Government.Key Responsibilities:
- Organise and complete tasks, manage events, prepare presentations/correspondence, complete reports within set timeframes, draft letters and manage emails.
- Perform Information management, including collection and maintenance of files/records, correspondence and project files for easy retrieval.
- Perform diary and workflow management with a focus on diary management, travel, organisation of approvals and the provision of solid administrative secretarial support including the preparation of minutes, agendas and reports.
- Assist in maintaining appropriate systems, procedures and controls.
- Provide updates to the Manager about key business and people issues.
- Provide a warm and helpful interface between the Manager, the General Manager and the key stakeholders.
- Act as liaison for the Manager and maintain an approachable, professional and helpful attitude.
- Previous experience in a similar role working for a large organisation as a Personal Assistant with the ability to work without supervision in a senior management environment subject to work pressures and competing deadlines.
- Appropriate tertiary qualifications and/or extensive relevant experience.
- Experience in management of events and projects requiring flexibility to meet deadlines.
- Experience in building trusted relationships with Senior Managers.
- Relevant experience in using professional judgment and common sense with an ability to recognise and resolve customer issues.
- Working experience in using Microsoft Windows applications for diary management, word processing capabilities and knowledge of Excel spreadsheets.
- Excellent organisational and time-management skills.
- Good presentation and communication skills and telephone etiquette.
