About the business and the role

Vivacity RTO Coaching & Consulting has been working with over 200 Registered Training Organisations (RTO) and International Student Institutes (CRICOS) all over Australia since 2009, providing consultation and coaching services to assist our clients with either setting up as a new provider, preparing for re-registration, prepare and apply for Addition to Scope, undertake Assessment Validation and general consultation. We also provide training in compliance and business development to help our clients to succeed in the Training industry.

Job tasks and responsibilities

About the role

This position is the key role for supporting our clients through the RTO/CRICOS registration process and as well as assisting them manage their ongoing compliance, working under the supervision of an experienced compliance auditor.

You'll be working in a very down to earth, friendly business located in the Northern Beaches, providing the following:

  • outstanding administration skills to support our clients needs
  • assisting our clients with RTO and CRICOS based documentation
  • project managing our clients through the registration and compliance process utilising our purpose built online client management system
  • providing advice to our clients on working within the training industry, including advice on Trainers & Assessors, Training Rooms and other RTO/CRICOS related
  • recording client notes into our online system
  • taking responsibility for assisting clients with queries and requests

So, what are we looking for?
The ideal candidate will have:

  • A minimum of three years experience in the training industry
  • A basic understanding of RTO/CRICOS compliance
  • Experience in managing multiple clients/projects at the same time
  • A confident, down to earth, friendly nature who enjoys talking to people from a variety of backgrounds and culture
  • An awareness of the importance of providing outstanding customer service
  • The knack of learning new skills on the job
  • A mature outlook, who is reliable and trustworthy
  • Ability to take initiative and support the team
  • Intermediate skills with Microsoft Word, Excel and Outlook
  • Clear written and verbal communication skills

Skills and experience

Essential

  • At least 3 years industry experience within an Administrative role (preferably as a Training Coordinator or Trainer/Assessor or Compliance Officer or Student Support Officer) within an RTO or CRICOS Provider. PLEASE NOTE Applicants who do not have a minimum of 3 years RTO/CRICOS experience will not be considered for the role
  • Experience with working on multiple projects and clients at once
  • Demonstrated experience in customer service and dealing with difficult customers
  • Highly developed organisational skills including the ability to prioritise tasks and work quickly and effectively to meet tight deadlines
  • Experience with compliance and continuous improvement
  • Certificate III in Business Administration or higher
  • Intermediate to advanced computer skills using Microsoft Office (including Word and Outlook) email and the internet
  • Demonstrated experience in touch typing with a speed of 45+ wpm
  • Flexibility and willingness to undertake a wide range of office tasks
  • Demonstrated ability to work within a team
  • Excellent oral and written communication skills
  • Ability to present yourself in a professional manner
  • Excellent time management skills utilising systems to manage tasks
  • Ability to work within a flexible environment

Highly Desirable

  • Experience with developing Training and Assessment Strategies
  • Experience with RTO Compliance, including audit experience
  • Training and Assessment experience would be beneficial, but not a requirement
  • Certificate IV in Training and Assessment (TAE40110) or similar qualification
