State Medical Assistance is a privately-owned company located in Bowral NSW with bases throughout NSW. 

Offering Patient Transport and Event Medical services statewide.

Due to continued success and growth we require a full-time payroll, accounts and executive assistant to join and support our team.

About the role

Executive Assistant

The duties of this position will include but not be limited to:

  • Support the CEO/MD and Directors for all travel requirements.
  • Time management of diaries.
  • Produce reports and follow up on meeting actions 
  • Manage email accounts and arrange meetings with clients and key persons

Bookkeeping

The duties of this position will include but not be limited to:

  • Weekly payroll processing and management
  • Process and pay superannuation, payroll tax, IAS and BAS.
  • End of month reconciliations and reporting
  • Year End reconciliations and reporting, including group certificates
  • Prepare P&L statements and job reports 
  • Accounts payable and receivable
  • Generating Client invoices and account statements
  • Record keeping of retention held by Clients
  • Cashflow forecasting
  • Tracking of costs vs jobs and fleet
  • Reporting against budget
  • Manage the office environment and oversee general maintenance and upkeep of the office
  • Record keeping
  • General reception duties including answering the phone and collecting the mail

Skills and experience

You will be able to demonstrate at least three years experience in a similar role including all aspects of accounts payable and receivable as well as payroll. Attention to detail is critical, nothing will get past you.

 It's a small team so we are looking for someone who is friendly and a team player. Experience in XERO, Outlook, Word and Excel essential. You will also have excellent written and oral communication skills, including the ability to communicate with people from a broad range of backgrounds.

Previous experience as an Executive assistant is preferred.
