About the business and the role

A dynamic financial planning practice is looking to secure the next step forward in its growth strategy. The practice is in a high growth phase and this position will expose the successful candidate to every aspect of assisting in the day to day running of a high quality financial planning practice. This business is dedicated to providing clients with a complete financial planning offering and most importantly a great client service experience.

Job tasks and responsibilities

The position is a full time Client Service Office (CSO) role supporting the business needs. In the CSO role you will have the opportunity to deal directly with clients on administrative issues. You will also be involved in maintaining all back-office systems, including the database.

We are looking for a highly motivated individual who preferably has greater than 2 years' experience and is willing to grow and to learn. As this is a client facing role we expect the successful candidate to present themselves professionally and will display high communication and client service skills.

Key Responsibilities / Duties

  • Use of electronic and paper filing system
  • Communicating over the phone, email and fax
  • Preparation of client paperwork
  • Diary management
  • Use of Microsoft Word, Microsoft Excel, Microsoft Outlook, and Xplan software
  • Data entry
  • Processing workflow
  • All general administrative duties
  • Ensure transactions, lodgements and follow ups are completed in a timely manner
  • Answering phone calls
  • Manage email

Skills and experience

  • Diploma of Financial Planning
  • Preferably minimum 2 years industry experience
  • Excellent communication skills, both written and verbal
  • High level of energy and a positive attitude
  • Highly organised - ability to plan, organise and prioritise tasks
  • Effective in multitasking
  • Proficient computer skills in Microsoft Word, Excel, Outlook, Internet Explorer
  • Proactive and able to problem-solve
  • Ability to work to deadlines
  • Attention to detail
  • Friendly and Professional
  • Ability to maintain confidentiality
  • Previous administration experience

Desirable attributes

  • Previous experience in the Financial Planning industry
  • Previous experience with XPLAN software
  • Previous experience with and knowledge of product platforms/websites
  • Be skilled with email marketing
