The Office Admin will be reporting directly to the Managing Director. This position will offer variety and will cover all aspects of office duties and some minor stores duties. These will include the general management of the office and other ad-hoc duties assigned to you daily.
Primary duties will be; assistant to the company directors, Internal CRM Management, office administration, the dispatch and receipt of customer orders, inventory stock control
and the maintenance of digital filing systems.

The ideal candidate will be experienced in all aspects of Reception Duties and Office Management and can manage their time effectively and prioritise, as no two days will be
the same. You will have sound communication skills, excellent English reading and writing capabilities, be dynamic, and a team player, can work independently and someone who can
work under pressure.

PRIMARY RESPONSIBILITIES
Daily
Assisting the Directors and colleagues as required
Email management inwards and outwards
Reception duties, e.g.: Greeting visitors and clients for meetings; monitoring phones
Reception management
Boardroom management
Receipt & despatch of deliveries
Maintain incoming and outgoing goods; goods receipt on arrival in CRM
General office management, kitchen, plants, blinds, clocks, calendars, etc.
Stock Keeping and Control

Weekly
Accounts receivable invoicing (CRM only)
Accounts Payable (Email management only)
Petty Cash management
Banking
CRM maintenance of account information
Housekeeping duties: Purchase and maintain stocks of toiletry, kitchen, stationery requirements, etc.
Liaise with cleaning staff
General filing
Website Management

Monthly
Invoicing Management & Reporting
DNS (Domain name service) & Hosting Renewals

 

Full training will provided on all internal IT Systems
Office hours are Monday to Friday 8:30am to 4:30pm. Hours for this position are negotiable
