Our client now is seeking for a proactive and solutions focused Principal Assistant to join their Case teams in Sydney. In this role, you will be working with a minimum of four Principals, managing all their logistics and providing highly effective administrative support.
The Position
This is a great opportunity to work with the Principals agenda and Case Teams, allowing them to focus on their commercial platform. You will learn and grow with the team in providing Principal support in their cases, general administration, and the continued improvement of their business.
Duties and Responsibilities
Key responsibilities include, but are not limited to:
- Proactively manage and coordinate daily schedules across several time zones
- Ensure that the Principal is fully briefed and organised
- Proactively manage and coordinate travel and related logistics including Visa and Passports to the best efficiencies
- Schedule client, case team and administrative meetings, as required, book relevant telephone/ videoconferences (local and international), and associated logistics
- Support Principals commercial agenda, understand case & client requirements
- Keep a 12 month forward plan of travel commitments
- Serve as a vital point of contact for case teams with regards to Principal's calendar and Logistics
- Manage requirements and provide administrative support as directed by Principal
- Develop and maintain strong working relationships with internal and external stakeholders including clients
- Assist with minor visual edits to slides if directed by Principal
- Complete ad hoc case team administrative duties
- Filter correspondence and telephone calls
- Maintain appropriate electronic filing systems and client databases
- Submit and reconcile timesheets and expenses
- Complete ad hoc administrative duties, including support to some PL lead case teams if required
- Provide backup support for EAs when they are on leave
- Streamline administration work to achieve the best efficiencies
- Participate in internal committees and contribute to office efficiencies by providing backup support where appropriate
- Provide inspiration and knowledge share across the Operations cohort
Skills and Experience
- Experience in a similar role providing high level administrative support to multiple stakeholders
- Advanced Level Microsoft and Outlook skills
- Intermediate level PowerPoint and Excel skills
- Ability to deal with complex and frequently changing international travel and meetings in multiple time zones
- Ability to engage professionally with Principals, Case Teams and clients and build strong relationships across a variety of levels
- Willingness to work collaboratively and open to feedback
- Superior communication skills - written and verbal
- Able to proactively manage multiple priorities, work to tight deadlines and perform under pressure
- Attention to detail, strong organisation skills
- Proactively anticipates the needs of others, shows strong sense of initiative and demonstrates a strong service ethic
- Is personally accountable, and demonstrates integrity and respect for others
