Based in our Melbourne CBD Office Project and Accounts support to our Urban Infrastructure Engineering team. The primary focus of this role will be to support project set ups, tracking of budgets, collating reports, and to complete all invoice related tasks to support the growth of the team.
  
The Opportunity
  • This multifaceted role will see you provide true support to a variety of Projects the Urban Infrastructure division are working on and bidding for these range from large property developments and various other engineering services
  • Project set ups involving but not limited to updating budgets/start-finish dates/Change Orders, variations and including contract administration ie uploading relevant contracts/documentation in BST system;
  • Project housekeeping including updating project activity, closing projects, forecasting
  • Monitoring of staff timesheets to ensure they are completed weekly.  
  • Prepare and issue  large volume invoices (monthly), credit notes and amendments to clients in accordance with project managers instructions;
  • Assist Project Managers with end of month Revenue process and review variances.
  • Update and maintain Business Unit monthly reports;
  • Process Accounts Payable invoices from suppliers
  • Debt collection;
  • Assist in formatting of submissions and reports created by Managers and Engineers;
  • Administrative support to the Business Unit Manager and other staff including agenda and minutes for meetings, booking and coordinating events as well as travel and accommodation bookings;
  • Develop, maintain and update training records, client feedback register and career development goals as required;
  • Maintain Microsoft access client database.
  • Manage Business Unit’s HSE and PPE requirements.
  • Other ad hoc duties as required.
To be successful
  • Prior experience working in a Project Support/Administrative function in an Engineering Consultancy would be highly advantageous
  • Ability to support a team, manage project timeframes, and to successfully manage competing priorities
  • Intermediate to advanced skills in MS Office Programs (Word, Excel, PowerPoint);
  • High standard of grammar and punctuation skills
  • The ability to think autonomously and proactively seek work, ensure that things are running smoothly at all times under your own direction; scan reports, update database with client details
  • Implement and comply with Cardno’s Quality Management system and provide feedback / recommendations where the system may need modification;
  • Reliable and trustworthy nature when dealing with confidential issues and staff at all levels;
  • Willingness to learn existing company systems and identify areas of improvement;
  • A positive and pro-active attitude.
