Role Purpose:
The Office Coordinator - is responsible for ensuring the smooth operation of the office and administrative functions, as well as providing administrative support to the Facilities Management Team. This is an exciting opportunity that is also responsible for helping to develop a professional client facing and collaborative work environment.
Major Responsibilities/ Accountabilities
- Accountable for the effective day to day management of the facilities operations and provide work and meetings space helping to ensure safe, functional and comfortable working conditions in an effort to contribute to employee productivity
- Providing Support, growth & development for the facilities team, ensuring communication is executed throughout the office, arranging team events, ensuring office morale is at its highest.
- Responsible for the implementation and control of companywide policies and procedures
- Contact with external and internal contractors as necessary to ensure good management of the company facilities and ensure they meet contractual commitments.
- Maintain office equipment and an inventory of supplies and develop professional vendor relationship
- Determine future office requirements in coordination with Facilities Manager.
- Monitor asses and identify strategies to improve services, systems and process.
- Maintain all required documentation that includes business continuity documentation and seating charts, monthly operations update, for the office.
- Adhere to Support Office deadlines for information requests to carry out time critical activities (e.g. Month End Close, etc.)
- Responsible for ensuring all office related expenditure is within budget and producing monthly finance performance report to Facilities Manager
- Use Customer Relationship Management techniques to build customer relationships, increase knowledge management and demonstrate how it improves customer satisfaction with the role of the coordinator
Impact of Role: Expected Results
- This role contributes to the organization by ensuring the provision of outstanding Reception and Administrative support to the office.
Success Criteria.
- Reliable, efficient and timely Administrative and Reception support for the office
- Client satisfaction – service (measured by client satisfaction survey and measurement against SLA's)
- Improved efficiency through streamlined processes
- Ensure that the office environment meets Gartner Standards
Relationships: Internal/External
All business units up to VP and Area Manager level. Purpose is to interact and assist in any way in driving client satisfaction scores and increasing Sales productivity
Professional Experience
At least 3 year experience within a Receptionist or Administrative role preferred but not essential.

- Good written and oral communication skills
- Demonstration of proficiency in computer skills, Microsoft Office (Windows, Outlook, Excel)
- Outstanding organisational, time management and analytical skills
- Strong administration and Bookkeeping skills

- Demonstration of effective interpersonal skills working with others
- Self-motivated individual that shows initiative
- Strong attention to detail
- Demonstration of problem solving, decision making and resolution skills
