Working closely with the Executive Assistant to the Executive Chairman & CEO, the Executive / Team Assistant provides an exceptional level of secretarial service and administrative support to executive and senior business leaders, and other Mulpha staff as required.
Key Responsibilities of the role include:
Providing secretarial support to the executive team and senior managers, including diary, meeting and expense claim management
Extensive travel coordination including flight, hotel and transfer booking
General administrative duties including filing, photocopying, binding, etc.
Supporting executive and senior business leaders with any overflow administration as required
Assisting in the preparation for Company meetings, including consolidating reports and distributing papers
Coordinating Company meetings, including arranging catering
Receptionist duties as required
Assisting all Mulpha and Aveo staff with leisure bookings at Mulpha owned or related properties
The successful applicant will possess the following qualifications, experience and skills:
Certificate IV Business Administration or equivalent experience
3+ years' experience in administrative or secretarial roles
Demonstrated competency in MS Word, Excel and PowerPoint, with the ability to rapidly acquire knowledge of additional applications such as accounting systems
Demonstrated and highly effective time and resource management skills
Ability to develop positive working relationships across the Group
Demonstrated communication and interpersonal skills
A commitment to quality, professionalism and attention to detail in all tasks
Excellent organisational skills with the ability to flexibly reprioritise work in response to unforeseen and fluctuating demands
Ability to work under supervision and as directed but also to work autonomously as required
Friendly, diplomatic and courteous
Well-presented and self-motivated
