Greyhound Racing New South Wales (GRNSW) is a body corporate constituted by the Greyhound Racing Act 2017 charged with providing strategic direction and leadership in the development, integrity and welfare of greyhound racing in NSW.  It is the peak body of the sport and is responsible for ensuring the competitiveness and long-term commercial viability of greyhound racing for the benefit of participants, business partners and the community.

This position provides executive support and assistance to the General Counsel.  Key tasks will include:

  • Diary, email and travel management;
  • Liaising with Senior Executives, industry and commercial partners;
  • Event and meeting coordination;
  • Project management;
  • Preparation of meeting agenda and minutes;
  • Drafting and managing correspondence; and
  • General office management.

Key accountabilities

  • Provide high level administrative and executive support to the General Counsel through the preparation of meeting minutes and memoranda; filing, including folder management and archiving of file documents; preparation of correspondence on behalf of the General Counsel to engage with both staff and external stakeholders such as set up meetings or to provide responses.
  • Coordinate and maintain the General Counsel’s diary, including managing competing priorities, arranging meeting schedules, travel arrangements and monitoring email and telephone calls.
  • Organise meetings for the General Counsel, including arranging venues, sending invitations and prepare agendas and meeting documentation.
  • Manage the tracking system for the business unit’s correspondence, GIPA requests, and memoranda that the General Counsel signs by registering, allocating and coordinating incoming requests and actions to ensure timely responses to all internal and external stakeholders.
  • Contribute to the development of the Office of the General Counsel’s clerical and administrative capability through the identification and recommendations of system and process improvements.
  • Exercise discretion and ensure confidentiality in handling all critical and politically sensitive issues that require the General Counsels attention.
  • Provide a high standard of customer service in the delivery of duties to support the organisation and meet our customer’s needs.
  • Build and maintain strong relationships with the GRNSW management team, GWIC, the Office of Racing, the Minister’s Office and external stakeholders to ensure that priorities and deadlines are met.

Skills and Experience

  • Experience in providing high level executive support in a complex and challenging environment;
  • Effective communication skills, both oral and written with the ability to deal with complex, confidential and sensitive issues. Editing skills would be desirable;
  • A demonstrated ability to problem solve and use judgment and discretion and a demonstrated capacity to work independently by exercising initiative and judgment;
  • High level organisational skills including the ability to effectively prioritise workload and meet deadlines;
  • Demonstrated ability to prepare and edit documents, reports, agendas, minutes and papers for Board meetings;
  • Ability to work as a team member where confidentiality and diplomacy are paramount, as well as the ability to exercise self-discretion using initiative and to operate with little or no supervision;
  • Proven proficiency in using PC based software including advanced level of proficiency using Microsoft Office Suite;
  • Flexibility to handle this multi-tasked position.
