They are looking for a new full-time Personal Assistant to join their team.
Description
This position will be reporting directly to the Director of Legal and Compliance, Senior Director of HR and VP of Regulatory and Government Affairs. The ideal candidate should be able to;
- Be responsible for the administration activities within the above three areas, including co-ordination, monitoring and controlling the day-to-day activities to meet agreed levels of support and service
- Co-ordinate and plan meetings, including agendas and minute taking
- Co-ordinate travel and accommodation arrangements for respective teams
- Create standardised templates and facilitate use by all Operations Finance staff
- Produce Operations newsletter and charts
- Help drive projects and initiatives
- Follow up on action items with parties throughout the business
- Establish strong and compatible working relationships with suppliers, internal and external customers, and colleagues
- Drive continuous improvement processes
Communication, negotiation and co-ordination skills are required to liaise with internal and external colleagues and service providers
- High degree of autonomy, ability to use initiative and work with minimum guidance and direction
Planning and organising skills in addition to an ability to meet deadlines and manage multiple demands on time
- Attention to detail is required particularly with the scope of the role and in-depth work such as correspondence, presentations and reports
- High level computer skills with proficiency in Microsoft Office applications particularly Word and PowerPoint. Additionally sufficient knowledge of MS Excel spreadsheet including the ability to use advanced functions in order to prepare reports
- Because of the nature of the work with the legal and HR teams this person must have the ability to maintain upmost confidentiality
Profile
A successful candidate must have a minimum 3 years secretarial and office administration experience preferably in an operational environment or equivalent experience. All duties must be performed in accordance with company policies and procedures all WHS standards and processes.
