Your new company
A leading Engineering company in the Defence and Transport sector seeks an Office Manager for a 6 month contract to Manage the office and assist with HR Administration
Your new role
Office Management
- Manage contract and price negotiations with office vendors and service providers including choice of company and terms of trade
- Manage relationships with clients, vendors, service providers, landlord and building managers
- Point of contact for premises issues including leasing arrangements, maintenance, landlord and building works
- Maintain a functional work environment including purchases and improvements, repairs and maintenance, managing the office budget, recording office expenditure and sustaining consumables supplies
- Point of contact for company memberships (e.g. tender sites, professional associations, subscriptions etc)
- Manage the company’s insurance policies, ensuring accurate information is provided to enable adequate and complete coverage
- Provide administrative support to Managers, Project, Bid managers and other staff
- Assist and/or manage the preparation of documentation and correspondence for the control and direction of the business (e.g. business plans, meeting minutes, board papers, agendas)
- Manage non-project records and recording systems within the business
- Maintain office efficiency by planning and implementing the physical business infrastructure functionality (office systems, layouts, IT, management information systems)
- Co-ordinate meetings, conferences, travel booking and scheduling as required
- Provide ad hoc project management support
- Provide relief and ongoing support for accounting role
- Assist with Quality System function including internal audits.
Human Resources Administration
- Manage visa application process for international transfers
- Administration of the day-to-day HR function (maintenance of personnel records, employee concerns, salary/benefits enquiries, HR administration, managing internal communication)
- Respond to ad hoc requests and queries from management team
- Implement the company’s learning and development requirements including management of the delivery of training
- Manage the induction process for new starters
- Administer continuing professional development requirements for employees and contribute to the performance appraisal procedure
- Administer the company’s staff survey
- Proactively manage requests for ‘surge recruitment’ to ensure adequate staff levels to cover for absences and peaks in workload, engaging temping agencies if necessary
Security
- Act as the company’s Security Officer managing staff clearances and site security policies and processes in accordance with Australian Government requirements
- Maintain and oversee the company’s Standing Orders
