About the role
We are seeking applications from highly qualified and experienced Administrators or Junior Executive Assistants for a position within our Asset Inspection Business Unit. The position will report directly to the Business Unit Manager within our Laverton based office.
Key duties/Responsibilities
- Providing an administrative support service to the Business Unit Manager and Management Team
- Liasing with senior executives from client and other industry organisations in arranging appointments, communications, correspondence and administration for the Business Unit Manager and Management Team
- Arranging Business Unit management meetings, recording minutes and maintaining action logs
- Compiling Client and monthly reports and presentations, and Business Unit and staff strategy presentations and documents
- Arranging conferences and presentations
- Process debtor and creditor invoices, and create purchase orders
- Data entry and management
- Assist with the preparations of tenders, reports and submissions
- Assist with work scheduling, forecasting and planning
- Monitor and book training requirements
- Order and issue PPE
- Vehicle Fleet monitoring
- Travel Administration
Skills/Experience
- Certificate IV Business Administration or equivalent
- Business Unit Administrator / Executive Administrator Experience
- Strong Diary Management and Minute Taking Skills
- Advanced ability in Microsoft Office and other specialist software packages as required
- Sound people skills, including a high level of confidentiality and judgement
- High level organisational skills, with the ability to prioritise and meet tight deadlines
- Exposure to all facets of administration support (HR/QSE/Estimating/Operations)
- Ability to develop correspondence and a range of policies and procedures
- Current Drivers Licence
- Project Coordination experience desirable not essential
You will also have excellent interpersonal and organisational skills, and the ability to work in a team environment and interact with a diverse group of people.
