Your new company
This Federal Government Department is currently undergoing significant change and growth due to a number of new projects being undertaken. Consequently a Program and Coordination team have an increased workload resulting in a need for assistance.

Your new role
You will be an experienced Ministerial or Parliamentary officer with knowledge in ensuring ministerial correspondence items are processed accurately and in a timely manner. These responses will stem from line areas and will be received by Commonwealth, State and Territory Members of Parliament. Furthermore, you will quality assure all ministerial correspondence before items are sent for signature and be required to draft submissions.

Your duties will include:

  • Working proactively and liaise with Department line areas and the Senior Executive.
  • Oversee the monitoring, allocation and quality assurance activities of various Parliamentary and Ministerial activities, including Ministerial Correspondence.
  • Preparation of responses to Ministerial Correspondence including client summaries
  • Manage group mailboxes and respond proactively to requests, seeking direction as required.
  • Ensure strict governance and administrative processes in work matters.
  • Manage multiple tasks, apprising line managers of the status.
  • Identifying, developing and implementing improvements in business processes and procedures.



What you'll need to succeed
Weekly and monthly reporting is a part of regular duties therefore an understanding of how to register ministerial submissions, progress them through the workflow and follow up any overdue material is essential.

As the successful applicant you will have the ability to communicate effectively with staff at all levels, strong organisational skills and the ability to work under pressure. You will have ministerial, secretariat and parliamentary administration experience and will have worked in a similar capacity in your career within the Federal Government.

Day-to-day duties will include:

  • Allocating ministerials within the Group
  • Assistance staff involved in the preparation of responses to ministerial correspondence
  • Quality assurance of draft replies
  • Have a demonstrated writing style appropriate for senior delegates and ministers
  • Generating reports from the online ministerial system
  • Other communications tasks as required

A working knowledge of PDMS is necessary for this role.

You must be an Australian citizen and have the ability to obtain and maintain a Baseline clearance or higher.
