Permanent Part-time – 20 hours per week

THE ORGANISATION

Legacy is a unique Australian voluntary organisation dedicated to enhancing the lives of families of Australian Defence Force veterans who have served in war, peacekeeping and humanitarian missions and who have died or become incapacitated either on service or subsequently. Legacy protects the basic needs of individuals and families; advocates for entitlements, rights and benefits of individuals and families; assists families to cope with bereavement and helps people thrive, despite their adversity and loss.

THE ROLE

The Administration & Projects Clerk is primarily responsible for assisting the Pensions Manager (PM) with administration and special projects.

This role is a dynamic, broad and varied one and is responsible for providing clerical assistance to support the pension operations of the Legacy Club.

The Administration & Projects Clerk must work within Legacy policies and procedures, comply with all other Acts and Legislation, and must maintain strict confidentiality at all times.

SKILLS & EXPERIENCE

PENSION ADMINISTRATION & PROJECTS

  • Provide confidential administrative and project support to the Pensions Manager.
  • Produce standard correspondence and business documents through the use of computer software applications such as Word, Excel and CRM Database, that may include the following functions:
  • Receive and record confidential client contacts and enter on records & CRM
  • Ensure all data entry is accurate, up-to-date and quality controlled
  • Undertake research into medical records and medical conditions
  • Use the Internet /Intranet portal for data information
  • Identify and extract information from internal and external sources
  • Produce materials for distribution, promotion, presentations and publications
  • Filing, collating, photocopying and scanning
  • Provide a high level of customer service and support  to Clients, Legatees (Volunteers) and service providers whilst demonstrating a respectful and professional approach
  • Prepare for and attend expos & information displays on behalf of pensions, as required

RECORDS AND DATA MANAGEMENT

  • Management of documents and files to ensure confidential accurate, timely and effective CRM input, flow of information, and capture of records into Legacy's electronic document management system
  • Coordinate electronic pension document imaging records storage, forms management and records management

THE PERSON

High level of customer service skills and can-do attitude.

Strong administrative, self-management and organisational skills.

High level of both written and verbal communication skills.

Ability to read, write and comprehend medical terminology.

Intermediate to advanced skills in MS Office Suite, particularly Word & Excel.

High degree of attention to detail & accuracy in data entry.

Ability to work in a fast paced environment.

Ability to work as part of a team.

Ability to listen attentively and have patience and empathy.

Exercise initiative, discretion and judgement at all times.

Build positive relationships by involving and engaging with others.

Hold a current unrestricted Drivers Licence.

Maintain a satisfactory Police Check

Have a reliable vehicle and be willing to use it for Legacy business.

Experienced in an administration role, ideally in a community services, medical or military setting.
