This globally renowned organisation is looking for an experienced event project manager with experience managing national and international conferences/events. This role would suit an all-rounder, with a positive attitude and capable of hitting the ground running in fast paced environments.
 
Your key responsibilities will include:
  • Manage promotional aspects for the international conference; such as: newsletters, collateral, design and promotional toolkits
  • Manage and update communications, content and schedules and ensure promotional campaigns are activated
  • Manage liaisons and planning for all conference staff before, during and post conference
  • Ensure all invoices are paid and processed and assist with final reconciled budget
  • Prepare detailed reports (internal and external, e.g. for committee, leadership team, marketing and regional teams) in the lead up to conference
  • Prepare briefing packs and manage on-site ad-hoc meetings and workshops
  • Prepare and coordinate surveys for all delegate segments (delegates, speakers, exhibitors), analyse data and prepare post event survey results reports
  • Reconcile all registration data, including clean-up, analyzing findings and preparing reports for internal and external stakeholders
  • Manage video production (briefs, content, assets), on-site and off site, including post-conference editing and distribution through social channels
  • Coordinate photography for the event, and ensure ready for upload after the conference
  • Content writing for all conference communications, including website, program, newsletters, social media, internal communications, advertising, speeches (including working with designers for collateral production for banners, signage etc)
  • Liaise with internal and external stakeholders
  • Provide administrative assistance for all things program related (liaising with speakers, facilities, managing program changes, managing program app, finding keynotes, briefing session chairs and speakers, etc.)
  • Planning activities for 2019 conference as required
 
As such, you will demonstrate your experience in the following to be considered for this opportunity:
  • Experience running large association or corporate events/conferences (with 1000+ delegates, multiple streams over multiple days) a MUST HAVE
  • Has managed event budgets over 1 million (with full responsibility for P/L and final reconciliation)
  • Demonstrated experience writing content (photography, video and copy) for websites, newsletters, program sessions, social media, etc.
  • Experience chairing and managing boards and committees (e.g. chairing meetings, preparing agendas and reports)
  • Experience with program development (e.g. finding keynotes, writing speeches, writing session information) and using program management software
  • Experience working in an agency, or as an in-house event manager
  • Experience with registration systems, program systems and communication software (CMS, CRMs, Surveymonkey)
  • Demonstrated experience producing content for marketing and promotion of events – including video, photography and copy
  • Experience working with creative agencies
  • Experience managing event suppliers (RFPs, contracts, etc.)
  • An outstanding communicator, with strong attention to detail, and capable of hitting the ground running in a fast paced environment
 
This role is requiring an ASAP start, based in Melbourne CBD, but requiring to be onsite for the weeks event to be held in Sydney. You must thrive in a fast paced environment, be organized and efficient and pride yourself on your written and verbal communication skills.
