Executive Assistant to Director NZ

Maternity leave contract 12 Months

The Role:

Providing administrative support to the Director NZ, this role will ensure their day-to-day requirements run smoothly and efficiently. The scope of the role is diverse; you're the right hand person, sounding board and organisational superstar.

Reporting to:  Managing Director NZ

ResponsibilitiesWhat you will do:

As the Executive Assistant, you will provide high level administrative support to the Director NZ and backup support to the Management/Sales team. You will manage and maintain Executive diary and ensure travel expenses, collation of monthly reporting and other office administration tasks are completed on time and in an efficient manner.

Other responsibilities will include, but are not limited to:

Sales

  • Preparation of pricing data for the database and ensuring that internal and external customers have access to pricing data that is accurate, timely and relevant.
  • Buying Groups – efficient distribution and collection of information to and from buying groups.  Maintenance of customer database and coordination of incentive programs
  • Collection, preparation and distribution of all company reporting
  • Rebates invoices and advertising claims

HR

  • Ensure HR files maintained and updated with correct information.
  • Update and manage office contracts, including cleaning, pest control, staff flu vaccinations, Fleetplus vehicle leases.
  • Manage catering for meetings, supplies for Executive kitchen, company drinks and weekly staff fruit.
  • Oversee the internal Field Trial account
  • Co-ordinate staff and client functions on a regular basis with some quarterly and annual events

Administration

  • Event organisation – liaise with PR agency and various contractors to plan, manage and execute events.
  • Process timely ordering of printed stationery
  • To manage the ordering of all apparel and promotional items
  • Various project work as assigned
  • Participation within the all Electrolux teams to enhance the culture and success of the company

Who we are looking for:

You will have previous demonstrated experience in a similar position, ideally within a fast paced and dynamic environment; possess strong communication and interpersonal skills coupled with ability build relationships with key stakeholders; demonstrated ability to meet strict deadlines, work under pressure, multi-task and prioritise work effectively whilst having an eye for detail. You will have an excellent understanding of the Microsoft suite and the aptitude for mastering new systems quickly. Your personal initiative and flexible approach to undertaking your day to day responsibilities will ensure your success in this role.

Essential Skills:

  • Minimum of 2 years previous experience in an Administration support role
  • Intermediate level skills in excel, work and powerpoint
  • Familiarity with financial reports and budgets
  • Clear and concise oral and written communication skills
  • Planning and organisational skills
  • Current, valid drivers’ license free from endorsements
  • Awareness to health & safety practices

Preferred Experience:

  • Advanced level of skill in all Microsoft office software
  • Background in administration at an executive level
  • Strong analytical skills
  • Ability to read, understand and communicate financial and information
