About Our Team

We are a boutique law firm in Melbourne’s hip and trendy northern suburbs. Our firm’s focus and expertise is in Wills and Estates (including litigation), Property Law, and Commercial law. The firm is a close-knit team of skilled professionals who enjoy working together and engaging in a client centred approach to deliver quality, practical and exceptional legal services. The team advises clients on a wide variety of matters within our practice areas including elder abuse, Wills (simple and complex), business succession planning, probate and estate administration, estate litigation, conveyancing, property law disputes, business sales, commercial leasing and commercial litigation.

 

About the Role

The role involves personal assistant/paralegal support to the principal solicitor and other solicitors and law clerks as necessary. The role may be full time or part-time. The main responsibilities include:

  • extensive diary management and arranging appointments;
  • coordination of meetings and greeting clients when they attend;
  • preparation of legal documents and general correspondence;
  • extensive file management;
  • maintaining principal’s diary and emails;
  • typing, editing and proof reading letters, memos, briefs and court documents;
  • preparing briefs to counsel;
  • indexing discoverable documents;
  • drafting correspondence;
  • liaising with clients, lawyers and other staff as required;
  • preparing monthly client reports and itemised accounts;
  • billing and debtor management;
  • collating and reporting on referrer status;
  • operating and managing simple files;
  • liaising and ordering with suppliers and service providers;
  • reception duties including:
    • answering incoming calls
    • mail check
    • banking
    • archiving and deeds
    • co-ordinating staff social events
  • managing casual administration staff; and
  • assisting other personal assistants and lawyers as necessary.

About Your Skills and Experience

We are seeking a personal assistant/paralegal with at least 5 years’ experience in Wills and Estates and/or Conveyancing and/or Commercial law. The position suits a team player who works in well with a close-knit team, but is also readily comfortable showing initiative and working autonomously. You will need excellent legal technical skills, and have a sharp eye for detail together with meticulous organisational abilities. We’re looking for excellent inter-personal skills with clients and other stakeholders and the ability to develop effective working relationships within the team. Additionally, you must be proficient in MS Office and be able to quickly familiarise yourself with legal practice management systems.
