As the first point of contact for staff property requests you will provide the highest level of customer service and communication for resolution of events/queries relating to property services/facilities management.
 
We have 6 full-time and Property Service Centre Maintenance Coordinator positions that report to the Team Leader, supported by the 2IC.  You will work in a busy, dynamic and friendly team environment. Most importantly the role is critical to the success and reputation of our financial clients Group Property and Cushman & Wakefield as an efficient and customer service oriented business.
 
Job Purpose:
 
The Maintenance Coordinator will work in the call centre for our financial services client located onsite in their Sydney office.  Working closely with Facilities Managers, Property Managers, Landlords and Vendors, the Maintenance Coordinator is responsible for receiving, managing, providing updates and monitoring the completion of all work requests to the satisfaction of the requestor.  You will provide high quality, timely support to Cushman & Wakefield’s client, through a professional and enthusiastic team, according to contract and policy agreements.  You MUST have facilities maintenance, real estate or property experience to be considered for this call centre role.   This is an excellent career opportunity with room for growth within the client account for the right individual. 
 
Key Accountabilities:
 
Primary responsibilities and accountabilities of the Maintenance Coordinator are to:
  • Receive action and respond to all incoming requests via phone, email and the JDE job request queues – approximately 70 plus per day.
  • Use FM knowledge to make targeted enquiries in relation to works.
  • Undertake a risk and technical analysis to provide feedback to caller.
  • Allocate works appropriately to sub-contractors or Landlords. 
  • Demonstrate an understanding of the clients Property Portfolio and all property services delivered under the MSA.
  • Operate JDE to record, assign priorities, allocate to Vendors, update and monitor completion of reactive maintenance requests, including final closure of requests in the database.
  • Engage internally with Property Managers and Facilities Managers to triage, action, manage and respond to requests.
  • Engage externally with Owners, Landlords, Agents, Vendors to facilitate speedy response and resolution of requests.
  • Provide regular updates to requestors, Facilities Managers and Property Managers regarding resolution of requests.
  • Liaise with key stakeholders within the Account team, the National Operations Centre team and the clients team as required.
  • Escalate property and PSC-related complaints to the 2IC and Team Leader in accordance with escalation protocols.
  • Work with Facilities Managers and the Asset Management team with respect to scheduling of non-urgent requests to align with planned maintenance visits in accordance with our client’s ‘one touch’ program.
About you:
  • Experience in property, facilities or corporate real estate environment.
  • Experience/ exposure in Facilities Management.
  • Excellent active and empathetic listening skills and the ability to deliver outstanding customer service resolution  
  • Customer service experience in any field including conflict resolution and stakeholder expectation management.
  • Proficiency in relevant computer applications, minimum Word, Excel, Outlook.
  • Attained Higher School Certificate or equivalent.
