Excellent long term temporary role with potential for extension available for a proactive Administrator. This role will see you joining a high performing Team within the Rail sector of the Victorian Government.

Our client a prominent fixture in regional rail support to Victorians, is seeking an enthusiastic and experience administrator to join an internal team to support them with the management of planning a scheduling across current delivery requirements.

The position of this administrative role will ensure successful support across the works and associated activities that need to be completed to the required standard at the relevant stage-gates and communications sufficiently disseminated to ensure minimum risk to service delivery, network safety and customers.

Key Responsibilities:

  • Assist in the maintenance, administration and distribution of the Project plans and all other associated documents.
  • Assist in the facilitation and the preparation of key planning, scheduling and Works Readiness meetings. Including, but not limited to the preparation of minutes and agendas, following up of actions, organising meetings and distributing communications.
  • Raise and maintain Notices of Intent (NOI’s) supporting the management of the project occupations.
  • Assist in the preparation of Project packs ensuring the packs contain all key and current information and documentation, including, safety information, protection diagrams, circulars, key contacts, program of works etc.
  • Assist in the co-ordination of work groups within occupations in the works readiness phase to ensure all works can be completed safely, delivered on time and within budget.
  • Work with key stakeholders within the works readiness process to ensure that key documentation and stage gates are being met
  • Assist in the development and preparation of the various reports, including, but not limited to the collection of occupation and work group data for analysis, occupation daily progress reports, summary reports for senior management etc.
  • Assist in capturing, tracking and maintaining occupation planning and delivery information.
  • Support and implement continuous improvement initiatives within the Network Closure Access Planning and Scheduling Team.
  • Actively participate in ‘lessons learnt’ workshops and contribute to the continuous improvement of the Asset Management and Performance Department

You Will BE:

  • Confident in your ability to support multiple elements of a large high performing project
  • Strong in your communications both written and verbal with the ability to work with a wide range of internal and external clients
  • Close eye for detail and a methodical approach to document management and preparation
  • Familiar with successful Asset Management methodology
  • Positive with a can do approach and high level of ability to work autonomously
  • Strong time management skills with the ability to work to deadlines
  • Ability to show flexibility and adaptability within the role to take on additional ad hoc duties as requested.

Key Experience YOU will have:

  • Experience within the rail/engineering or similar industry ideal
  • Experince across Asset Management is looked upon advantageously
  • Proved solid experience working within administration or support role with high performing project or team
  • Previous planning experience and strong understanding of Asset Management
  • High degree of competency with MS Office, Word, Excel and MS Project
