We are seeking a full time Executive Assistant to join the Operations Department within the Corporate Office in a 12 month maternity contract position commencing Monday, 13 August 2018.

Our company is searching for an experienced, reliable and task-oriented Executive Assistant.  The main objective of this role is to provide strong administrative support to the Executive Director of Operations and assist the Operations Regional Management team.  This role is also the first point of contact for any operational queries and provides on-going support and communication to all 130+ General Managers across the Group.

The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritising tasks in a fast-paced corporate environment.

Executive Assistant Responsibilities:

  • Administrative support to the Executive Director of Operations:  Diary and meeting coordination, presentations as required, travel bookings, invoicing, End of Month reporting/ expenses and various ad-hoc requirements
  • Communication:  Gatekeeper of all communication to the General Managers and Internal announcements to Shared Services, Regular support and communication to the Regional General Managers
  • Suppliers:  Handle and manage relationships with several suppliers and external stakeholders
  • Events:  Co-ordinate and manage smaller internal events such as the Operations Workshops,  annual HM Awards Night, GM Reviews and GC Suns hosted games.
  • Projects:  Offer continual assistance and support for any ongoing projects through Operations or other Shared Services.
  • Other responsibilities:  A number of ad-hoc tasks to be performed on a day to day basis.

The successful candidate possesses:

  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Strong organisational, time/project management and problem-solving skills with impeccable multi-tasking abilities
  • Proficiency in collaboration and delegation of duties
  • Ability to work well under pressure
  • Exceptional interpersonal skills
  • Proficient use of MS Office (Word, Excel, Powerpoint, Access, Outlook)
  • A knowledge of the Mantra Group business as well as experience in conference and events is looked highly upon, but not essential.
