We are seeking an experienced Personal Assistant for a 12 month Maternity Leave contract.  You will be required to provide high level confidential and proactive administrative support in a well-organised and timely manner for a Global Mobility Service Provider. Based in Dandenong South, the successful applicant will primarily support the Managing Director, and CFO in Australia in addition to providing wider support to the Australian Leadership Team. You will need to be calm under pressure and capable of thinking on your feet in time critical situations. This role will suit an individual who is exceptionally detail focused, conscientious and able to work in a fast-paced environment.

Job Responsibilities

You will be responsible for but not limited to coordinating meetings/functions, complex diary & email management, ensuring all documentation is prepared for meetings, preparing expense and credit card reconciliation, managing confidential information and documentation and travel coordination.

Key Responsibilities

  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Assist in the preparation of presentations, briefs for meetings and putting together proposals  
  • Complex calendar management and scheduling of various meetings and appointments
  • Outstanding interpersonal skills and the ability to build strong relationships with all levels of management, clients and suppliers.
  • Ensuring efficient operation of office management
  • Liaison with internal/external stakeholders 
  • Ad-hoc duties and assistance with special projects as needed

To be successful in this role, you will need to be confident, have a bright personality, a strong work ethic and pride yourself on your ability to manage multiple tasks and priorities, many of them complex and confidential.

Highly effective administrative and communication skills are important, while high attention to detail is essential. The successful candidate will also have:

  • Excellent communication and interpersonal skills
  • A commitment to maintaining confidentiality and applying discretion
  • Exceptional organisational skills and high proficiency in using Microsoft Office suite
  • The capacity to work under pressure with, at times, conflicting demands
