Executive Assistant

If you enjoy building and growing valuable relationships, the Executive Assistant role offers an opportunity to provide support to our key leaders and business units to enable our organisation to operate effectively through a period of business transformation.

The role requires an expert level of administrative, coordination and secretarial support to two key Group Executives in Account Management and Member Engagement.

Some of the primary responsibilities include:

  • Being a point of contact with our people and liaise with stakeholders on behalf of the executive members.
  • Manage and triage communication and work directly with the executives to facilitate timely and appropriate actions.
  • Engage with the team and ability to make independent decisions and anticipate needs of the executive through mature judgment.
  • Exercise discretion due to the confidential and sensitive nature of information handled daily.
  • Coordinate and manage diaries and book all domestic and international travel and maintain diary appointments and schedule.
  • Prepare and circulate agendas for meetings, gather and distribute material for meetings, attend meetings, compose minutes of all meetings if required and maintain related files and records.
  • Provide administrative support on special projects e.g., map workflow or coordinate various programs.

We are looking for a proactive individual who enjoys working in a team environment, is a confident communicator and has excellent interpersonal skills with ability to work independently in a busy environment.

As the successful candidate you will have a demonstrated:

  • Extensive background supporting executives, as well as supporting a wider team
  • Strong communication skills and interpersonal effectiveness
  • Advanced MS Office skills, excellent time management skills
  • Ability to prioritise and multi-task in order to meet deadlines
  • Analytical and well developed problem solving skills and a high attention to detail. Professional qualifications in Office Management or Administration are an advantage.
  • Demonstrated ability to engage and build strong relationships with stakeholders
  • An ability to be adaptable, proactive and take initiative
