We are currently recruiting for an experienced Office Support Coordinator to provide efficient and effective support to the Executive General Manager, Corporate Services and the Corporate Services business unit as a whole. The candidate must ensure the smooth run of the office by providing confidential executive assistance to the EGM, administrative support to the Corporate Services team, and providing support services as required across the business. This role also coordinates and provides leadership to the Corporate Services administration team. This exciting opportunity would require the candidate to work 25 hours per week from Monday – Friday and provides the option of flexible working hours. 
 
Key Responsibilities Include but not limited to:
  • Arrange and ensure the effective management of EGM's meetings, activities and movements through maintaining 'live', time efficient and accurate schedule
  • Ensure all meeting requests have a clear agenda, time commitment and that any competing interests are balanced.
  • Assist with preparation of confidential documents, including board and briefing papers, presentations, and reports, confirming any preparation requirements (e.g. documents for review in advance) that are required are known in advance.
  • Assist the EGM and provide guidance to the Corporate Services leadership team to manage the departmental budget with efficient and effective coordination of costs.
  • Organise, and coordinate stationery, travel and accommodation bookings, mail, and other materials/services required by team members.
  • Establishes and maintains relationships with all stakeholders that will aid the delivery of quality support.
  • Develops and improves office procedures to support the objectives of the business.
  • Provides Reception coverage during lunch breaks, including acting as out of hours contact to arrange temp reception cover in the event of unexpected absences.
  • Engages temporary staff across the organisation to meet business requirements, including on boarding, delegation of activity, continuous feedback to agency, off boarding, etc.
  • Effectively manages all people processes (e.g. recruitment, remuneration, learning & development and performance) within the Administration team with the support of the HR Business Partner
The ideal candidate:
  • Diploma in Secretarial and Office Administration or Business at either TAFE/Business/Secretarial College, or the equivalent business experience.
  • Proven ability to adapt, prioritise, multitask and work to deadlines in a fast-changing environment.
  • Excellent communication skills, both verbal and written, with an ability to engage in a positive, can-do, collaborative manner.
  • Advanced working knowledge of all Microsoft programs.
  • Excellent team player with a demonstrated ability to provide a positive contribution to the team and wider APAC culture.
  • Strong continuous improvement focus with a positive and responsive approach to problem solving.
  • Proven ability to forge and maintain strong relationships with internal and external stakeholders.
  • Proven ability to apply discretion and maintain confidentiality when handling sensitive or confidential information.
  • Constructively questions the way things are done and suggest ways to continuously improve
