An exciting opportunity has arisen to join our dedicated Adult Retrieval Victoria (ARV) team and provide effective and efficient administration and secretarial support. This is a full time, fixed term position until 9 June 2019 and located in the Adult Retrieval Victoria base in South Melbourne.

 

About the role

Reporting to the Director of ARV, your responsibilities will include but are not limited to:

  • Provide secretarial support at meetings, including preparation of agenda items and supporting documentation, as well as recording, preparing and distributing minutes
  • Provide administrative support and timely & effective diary management for the ARV Director and ARV Clinical Lead, and co-ordinate the preparation of key documents to ensure that all information is provided prior to appointments
  • Establish and maintain office and administrative systems for the ARV department
  • Maintain systems to ensure the efficient retrieval and dissemination of information such as policy changes and staffing updates.

 

About you

You will demonstrate superior administrative and secretarial experience including staff rostering, business case and briefing note drafting, agenda preparation and minute taking in addition to experience in maintaining recruiting and HR processes and administrative systems. A high level of proficiency in Microsoft Office Suite is expected as well as prior experience with business writing and reporting is essential.

 

Your advanced written and verbal communication skills, with the ability to effectively build and manage relationships will set you up for success. You will be self-motivated, have excellent attention to detail, time management skills, as well as the ability to deal with matters of a sensitive nature.
