A Rare Opportunity for a Client Services Coordinator

– Boutique and Progressive Family Owned Accounting Firm

Join The Garis Group team on a Full Time 12 month contract with real potential for a long term position for the right candidate.

Initially covering the Maternity Leave of the Client Relationship Manager; your role will be to continue and enhance the focus on quality Customer Service within this small yet vibrant firm. You will be the point of contact for all Business Clients. You will develop strong daily communications with a growing and diverse range of people, providing a challenging, yet highly rewarding working environment.

Work alongside the Director and Senior Team Members to manage and coordinate the internal work flow and rhythm of the office. Attention to detail, ability to work to a deadline, and a strong willingness to learn will be required – success in these areas will be rewarded.

Key roles performed daily include, but not limited to:

  • Coordinate with accountant and client: Terms of Engagement for accounting services and Fixed Price Agreements
  • Maintain a Terms of Engagement and Fixed Price Agreement register for all accounting clients
  • Liaise with clients to gather source documents for accountants’ work, check everything has been received, contact clients for any missing information
  • Create jobs in Workflow to track work
  • Follow up return of client queries, further information required or signed documents
  • Facilitate ethical handover of clients
  • Preparation of Year End Report/Covering Letter/Documents to be signed/ Invoice using information provided by the accountant
  • Provide requested information to Financial Institutions
  • Provide requested information to Clients (e.g. company extracts, copies of trust deeds, financial and tax returns)
  • First contact for ATO phone calls. Then liaise with accountant and client as needed. (e.g. ABN details, outstanding debts, payment arrangements etc.)
  • Respond to ATO correspondence as requested by accountants.

Most importantly, this role is Customer Service orientated. Although experience in an Accountants office or similar would be considered a plus, it isn’t a requirement for this role. The Garis Group requests an individual with personal flair, a strong ability to communicate within professional and social fields, as well as a personal demeanour that can cope with a range of personalities and situations. Ideally 2 – 3 years office administration experience or in the least, excellent skills in Word, Excel & Outlook.
