We are seeking an Exhibitions Administrative Assistant to join the Special Collections Department at the Bodleian Libraries.

The Exhibitions section organises an exciting and varied programme of major public exhibitions and smaller displays at the Bodleian Libraries. Recent exhibitions include 'Volcanoes', 'Shakespeare's Dead' and 'Which Jane Austen?'. We work alongside exhibition curators and academics to co-ordinate all aspects of an exhibition project. We also manage a busy outward loans programme which enables Bodleian books and manuscripts to travel to exhibitions in venues worldwide. The team work in close collaboration with the other sections in Special Collections.

As the Exhibitions Administrative Assistant, you will be one of the core six person team responsible for delivering the Bodleian Libraries exhibition programme and maintaining the programme of loans to other institutions. Your role will primarily be clerical, providing financial and administrative support to the Head of Exhibitions and the team. You will also provide some hands-on assistance during the preparation and installation of in-house exhibitions and displays and will work collaboratively with other administrators across the Department of Special collections, providing reciprocal cover where appropriate. This role could involve some driving of hire vehicles to support collection and delivery activities. It may also involve manual handling, lifting and moving collection material using trolleys, and using tall ladders to reach or shelve collection material.

You will be able to prioritise a varied and busy workload with competing deadlines and enjoy working in a small team, as well as being able to work independently. An interest in exhibitions and the museum sector and excellent communication and writing skills are essential. You will also have experience of providing finance support and of record-keeping, and be competent in Windows office suite and basic desktop publishing packages, such as In-design and Photoshop, in order to support the production of in-house exhibition graphics and visitor interpretation. Knowledge of Oracle is desirable.

This post is being offered on a full-time, fixed-term basis for 18 months.
