About the role:
We are seeking an outgoing and organised Administration Assistant to join our Auckland Property team.
The Administration Assistant provides support to the Property team by carrying out administrative processes as delegated by secretaries, legal executives and authors.
Key tasks and responsibilities
- Assisting with the billing process;
- Arranging receipts and payments relating to the conveyancing settlements under the direction of the legal executives;
- Booking and organising travel using the firm’s travel booking system;
- Completing administrative tasks for accounts;
- Updating and maintaining client data in the Client Relationship Management System (CRM);
- Maintaining up to date files and archiving;
- Completing photocopying, printing, binding, transaction bibles and other similar tasks;
- Typing labels, envelopes and other short documents;
- Organising materials to be couriered and picking up materials received by courier.
Relevant Skills and Experience:
- Excellent written, verbal and proofreading skills;
- Undertakes document production tasks to a high standard;
- Completing photocopying, printing, binding, transaction bibles and other similar tasks;
- Builds effective relationships with authors and the wider team;
- Provides excellent client service, acting in a professional, discreet and service oriented manner;
- Provides proactive, responsive and high quality work.
