ABOUT THE ROLE
An exciting opportunity now exists within the Retail Operations Team for a Property & Lease Coordinator. Reporting to the National Leasing Manager, the incumbent will possess a sound understanding of industry best-practice management systems across such function and bring experience in streamlining existing and recommending new processes that will deliver improvements to the Department’s end-to-end administration.
Within this role, the Coordinatorr will be tasked to command transactional activity, manage invoices and reoccurring payments, possess capabilities to perform reconciliations of accounts and assist in preparation of data reporting to support the oversight of our Lease obligations, performance and future expiries.
DUTIES
- Provide lease administrative assistance to the Property team
- Track, review and input weekly outgoings, rental invoices and rent review notifications into LeaseEagle database and generate payment file
- Key Department contact point for queries received from stakeholders
- Work closely with the Lease Administrator to generate monthly rent and weekly outgoing payments
- Create Vendors and input any consultant or property related invoices
- Reconcile account discrepancies and insurance queries
- Manage and maintain database i.e. contacts/landlords/agents
- Ensure that appropriate systems, procedures, policies and practices are put in place and followed with ongoing review to achieve continuous improvement in the management of the Property Portfolio
SKILLS AND EXPERTISE
- Experience in an administration property support role (retail desirable)
- Good grasp on databases and ability to navigate Microsoft Office suite confidently
- Able to calculate rent & outgoings
- Team focus and methodical approach to deadline driven workflow
- A level of understanding with industry best-practice management systems
- Sound interpretive, analytical and communication skills
- Strong attention to detail, proactive/self-motivated and process driven Provide high customer service & maintain all stakeholder relationships
