Functions Coordinator – PART TIME

The City of Melbourne Bowls Club is looking to employ a part time Functions Coordinator.  Set in the picturesque Flagstaff Gardens the City of Melbourne Bowls Club offers function facilities for meetings, conferences, birthday’s, social and members events.  Our bowling rinks are also available to hire for barefoot bowls events.

This is a part time role offering 24 hours per week.  We are looking for the role to work 4 days with primarily availability being Monday – Friday 8am – 2pm however there is some flexibility for the right candidate.

Essential duties and responsibilities

  • To take function enquiries via phone, email and in person
  • Meet clients on site for venue inspections
  • Organise function quotations
  • Follow up enquiries converting to sales
  • To organise deposit for all events
  • To effectively manage the venue calendar in relation to both rink and functions bookings to maximise revenue whilst managing members needs
  • To manage daily rink bookings
  • To ensure all event details are kept up to date in the calendar
  • To prepare run sheets for the operations team
  • To ‘run’ conferences on the day including organising tea and coffee service for the guests
  • Following up with clients post- event for additional feedback for future improvement
  • To organise any invoicing required and to coordinate with our book keeper to ensure payments are made.

The ideal candidate will have

  • Previous experience in a function sales role an advantage
  • Previous function operations experience an advantage
  • Ability to multi task in a busy environment
  • Good negotiating skills with the ability to read the customer
  • Excellent verbal and written communication skills
  • Ability to build relationships with regular & repeat clients
  • Experience with excel and word
  • Experience keeping social media platforms up to date and relevant

Renumeration

  • $35,000 per annum + super
  • 24 hours per week
