Conference and Events Coordinator – Maternity leave contract from September 2018 - March 2018
Novotel Surfers Paradise is conveniently located in the heart of Surfers Paradise and our beautiful iconic beaches. The hotel features 408 rooms, along with a variety of dining options including: Hanlan’s Restaurant & Bar, on# 5 outdoor bar, as well as in-room dining. We offer a professional and relaxed atmosphere, providing genuine hospitality for our guests. For our guests wanting to unwind we offer a heated outdoor swimming pool & spa, tennis courts and gym. For our conferencing & events guests we have 6 modern function rooms available, accommodating up to 500 delegates.
In this integral role you will be reporting to the Director of Sales and Marketing, and be part of the wider sales team. You’ll be responsible for the efficient organisation and coordination of all onsite conferences and events; from posting bookings through to delivery. Working alongside the team to help achieve the Sales target in line with the annual Sales Budget for the Hotel.
Your duties will include, but will not be limited to:
- Meeting the needs of secured conference business from compilation of event order to after function follow up
- Manage existing contracts and responding in a timely manner to client enquires
- Managing and continuing to develop relationships with suppliers
- Efficiently maintain the conference data base of key contacts and clients
- Assist the sales team by answering phones, preparing proposals (both domestic & international) and any office administration as required.
- Hosting of familiarisation and site inspection activity; including follow up
- Assisting in the operations of the event when required
- Preparing Banquet Event Orders and liaise between relevant departments to ensure that preparations for event have been made
- Providing quotations and contracts for conference and events proposals covering venue, function, menu and accommodation costs ensuring revenue is maximized
- Administration and coordination of functions & events. Including BEOs, meet & greet on the day of the event
- Attending trade shows, wedding expos and or other external hotel relating networking events as required
- Liaise with Kitchen/Chef and staff regarding menus, catering numbers and special menu requests within timely guidelines.
- Having the confidence to prospect calling, writing proposals and contracts when required
The successful candidate will have:
- Previous experience in a role in a similar Hotel or Resort environment
- Intermediate MS Word & MS Excel office skills
- Demonstrated commitment in delivering exceptional event coordination.
- Excellent time management and communication skills (written and oral)
- Familiar with the MICE industry on the Gold Coast
- You'll be naturally friendly, welcoming and able to quickly build rapport with people.
- A high standard of personal presentation and communication
- A passion for guest service with the ability and confidence to turn existing events into return business.
- Knowledge of Opera and Delphi FDC is desirable not essential
- RSA certificate
