The role:

We are actively seeking an experienced Events professional with a strategic vision for continuing excellence, to manage creative Incentives, Conferences and Events for both international and local clients.

You will be responsible for your clients programs with full autonomy from client contract, through to operational delivery. You will pay strong attention to budgets and client communication, especially as many clients are based overseas. 100% of your time will be spent on these tasks.

Having a minimum of 5 years experience in Event Management, you will, at times, take on a mentoring role for Event Managers in the team. Conversely, on larger projects you will have opportunities to build a team to assist you in the full project management.

Reporting to the Head of Events you will have initial training in the philosophy of ID, and you will have clear goals and KPI's to assist you in achieving your success.

You:

This role has a strong requirement for a pro-active, responsible and creative approach to the entire Event Management process. You will be a self-starter with a keen eye for client communication; you will be operational focused and determined to produce the best Incentive, Conference or Meeting possible. Effective time management skills will be essential to your success.

Ideally, you have relevant tertiary education, and you have previous experience (at least 5 years) in an Events Management role either for a DMC, Events Agency or PCO.

Accountable for:

  • Meet/ exceed profit margin targets, increase breakage and yield.
  • Ensure Client satisfaction, develop relationships and proactively grow business.
  • Set up, cost and prepare site inspections prior to contract stage.
  • Manage & operate programmes for the international & domestic markets
  • Conduct site inspections and up sell products.
  • Ensure timely invoicing of Client and supplier payments.
  • Maintain strong working relationships with suppliers and industry bodies by attendance at supplier meetings, site inspections, familiarisations and industry workshops.
  • Maintain and broaden product knowledge.
  • Provide innovative suggestions on new office systems and procedures to achieve dept. efficiencies.
  • Responsible for mentoring Events staff with their daily workloads.
  • Provide training, coaching and guidance to the Events team.
  • Encourage and motivate operations team to achieve successful programmes & events.
  • Identify and provide recommendations on staff training in the operations team.
  • Participation in brainstorming for new ideas and concepts in conjunction with the quoting team.
  • Ensure cost sheets are updated and any changes are reported to management that are in excess of 5% of last reported GM
  • At times if required assist or prepare quotations.
  • Ensure all supplier costs correspond with the tariff or specific quotations.
  • Follow procedure for petty cash and amex transactions (i.e. inc. relevant supporting documentation when submitted for approval).
  • Successfully manage the operations dept. workload in absence of the Head of Events.
  • Manage contract-staffing requirements in conjunction with the Head of Events
