THE STORY - This opportunity will allow some very lucky but worthy candidate to work with two of the most inspiring ladies, two highly regarded psychiatrists who will without question have you at hello; so are you the right person for them? This is my story.  It was almost 6 years ago when I met these two wonderfully warm and inspiring ladies.  From the moment I walked in the door I felt care, comfort and passion, intelligence, compassion and a raw honesty and integrity; something that I just don't come across these days, they say a rare gem, or rather two rare gems, seeking a part-time sole administrator for their practise after a very long-term sole administrative support retired.

I knew that they ladies would be inspiring to work for and I knew I had to find someone special.  Both the doctors had a list of requirements that they rely heavily on this sole administrator to do in order for these two doctors to do what they do best, a highly credible & critical psychiatric services within the mental health space.

So I had big shoes to fill, I needed someone good, diverse, polished, experienced and kind, calm and professional to both the clients and the associated medical and external stakeholders to whom this person would interact with.

And then I found the perfect candidate, accommodating, selfless, professional, experienced and of the highest level of personal values which worked well with the strictly confidential manner that required to be taken seriously in this role.   I knew they would fall in love and for 6 years, this candidate has provided the best administrative care and support to two amazing ladies and boy do I now have big shoes to fill!  Needless to say; it is with the utmost importance that those applicants take into consideration the contents of this advert and only apply with the utmost commitment and with a genuine feel that the circumstances can fit your life now and for at least the next 5 years so our clients can fall in love all over again!

THE FACTS

  • City Fringe, Eastern Location, parking on-site in the on-site car-park
  • The clinic is located in serviced suites, however this site has a separate reception/foyer area built into the consulting suites, which is where the candidate will sit and will be an end-to-end service (apart from the accountant) from greeting customers to secretarial support and accounting/medicate requirements
  • Contracted hours will be between 16-26 hours per week depending on the commitments of the Doctors based on calendar commitments, however typically will be school hours Monday to Thursday and some minor remote access when required
  • Hourly rate will be above award and negotiated on the experience of the candidate (you may comment on this at the second phase of the application process)

THE SKILLS (each doctor works differently in the level of skill and/or need required, training on this will be provided)

  • End-to-end administrative medical experience (ideally with a sound knowledge of relevent medical terminology)
  • Dictaphone /  Audio Typing
  • Correspondence / Document Management
  • Hicaps / Eftpos / payments / banking
  • Diary Management / Appointment Schedules
  • MYOB  (Mandatory to note)
  • Reconciliations / Reporting
  • First point of call for patients
  • Preparation of necessary EOFY and Reporting/Accounting needs for Accountant

The candidate will work to the highest degree of confidentiality, code of ethics and professionalism at all times, bringing with them the capacity to prioritise urgent needs both with patients and workload and conduct themselves with the utmost of care, respect and commitment when dealing with key stake-holders connected to the clinic be that through patient contacts or through clinic services.
