Due to our ongoing growth and our focus on continual improvement, we are looking for a Project Administrator to join our PMO.  Reporting into the PMO Manager you will be responsible for all administration and operations supporting our PMO team. This includes office management, coordination, document control, expenses and reconciliation, as well as other ad hoc administration.

This role requires someone who can respond effectively in a very reactive project environment.  Ideally you will have previous experience as an administrator.  An understanding, exposure or interest in the Engineering or Construction industry is a bonus.

Your daily tasks will include:

  • Providing a high level of service to internal staff and external customers
  • Co-ordination and communication with field staff assisting in scheduling work, project related enquiries and meeting deadlines
  • Collation of paperwork/information/provision of inventory for field staff
  • Receiving completed construction packs from field crews, updating schedule, copying files, reporting variations in works
  • Reconciling works complete against schedule - daily, reporting weekly and monthly
  • Preparing construction notices, applications and exemptions
  • Project filing, printing, scanning
  • Attending project meetings, preparing and issuing actions, tracking and recording / reporting progress
  • Compiling tender documentation
  • Securing bookings for approved quotes
  • Coordinating deliveries of machinery and materials
  • Communicating confirmed orders and deliveries for project managers and construction supervisors
  • Conduct stock control regularly for tools, uniforms, OH & S paperwork
  • Fulfilling orders for uniforms and tools
  • Completing and data entering compliance paperwork
  • Other tasks as required to support project teams
