One of federal government clients is seeking to engage services of a APS 4 Parliamentary officer. The Ministerial and Parliamentary Section is responsible for the coordination and management of a wide range of documents and processes related to the Minister for Social Services, the Assistant Minister for Social Services and Disability Services, the agency Executive as well as a number of parliamentary committees, including the Joint Standing Committee on the agency.

The section has a diverse range of responsibilities, which include ministerial correspondence, ministerial submissions and briefs, and coordination activities such as Question Time Briefs (QTBs), Senate Estimates and parliamentary committee inquiry hearings, administering the agency’s instance of the Parliamentary Document Management System (PDMS), and staff engagement and training on ministerial and parliamentary matters.

Duties: The APS4 (equivalent) Parliamentary Officer will be required to provide high quality advice and client service to the Executive and staff, the Minister’s Office (MO), the Assistant Minister’s Office (AMO) and other key stakeholders across government. This includes, but is not limited to:

• providing high quality advice and customer service to staff and key stakeholders;

• day-to-day processing of ministerial documents, including:

  • coding and registering ministerial correspondence;
  • processing referrals from other Commonwealth agencies;
  • coordinating requests from ministerial offices; and
  • packaging and end processing of ministerial correspondence, briefs and submissions.

• actioning less complex requests received through the Parliamentary mailbox, including input requests, coordination tasks and requests for advice;

• providing effective and responsive Helpdesk support on ministerial and parliamentary systems and processes; and

• responsibility for the daily parliamentary courier run to Parliament House.

Skills and experience required:

• Previous experience in a parliamentary role and/or coordination experience in a Commonwealth agency will be highly regarded.

• Applicants must be able to demonstrate high level organisational, time management and interpersonal communication skills and be able to adapt to a changing environment.

• Previous experience with parliamentary document management or data entry systems.

• Valid driver’s licence.

• Entry level checks, including a National Police Check, will be required for all successful candidates.
