Royal HaskoningDHV, a global leader within the Engineering and Project Management industry, is seeking an experienced Personal Assistant to provide direct support to a Director in North Sydney.

With a remit which includes the leadership of several hundred staff in offices across Australia and South East Asia and a multi-million dollar project portfolio, our Director requires a Personal Assistant who can support her in the day to day management of a culturally diverse and expanding team.  The clients and project work is fast moving and complex and we require someone who can be both 'right hand side' support and also a key team player.

The outline of indicative duties include but are not limited to:

  • Supporting the Director on a daily basis to drive and manage workflow whilst she is both travelling internationally and also based in our North Sydney office;
  • Communicating with other offices and managers, on behalf of the Director and Senior Management Team, in Australia and South East Asia to keep the business moving forward and reporting back as required;
  • Calendar Management – plan, prioritise, schedule and coordinate appointments;
  • Meetings -  organise and coordinate meetings.  Take care of facilities and logistics, distribute agenda documents and minute actions etc.
  • Email management – including monitoring, reading, responding, printing and archiving;
  • Organising travel arrangements including hotels and flights for the Director both nationally and internationally;
  • Organising and quality controlling corporate documents, including letters, proposals, CVs, reference sheets and external policy documentation;
  • Maintenance of the company digital databases and CRM
  • Answering the office telephones and handling general inquiries;
  • Proposal and project support – assisting with the preparation, execution and closure of proposals and projects;
  • Maintaining expense records, reviewing invoices and credit card statements; and
  • Other duties and support as required.

This role is pivotal to the smooth running of the 'behind the scenes' support and administration and requires a 'can do attitude' and a proactive individual who can work both autonomously and within a team.  Your ability to meet and drive deadlines, use your initiative to manage and contribute to the workflow of the Executive will see you being successful in this role.

In addition, you will have some or all of the following attributes:

  • Excellent written and verbal communication skills, including an understanding of cultural sensitivities when communicating with overseas offices;
  • Strong time management and prioritisation skills;
  • A demonstrated ability to cope under pressure and meet deadlines;
  • Advanced Microsoft Office skills;
  • A high level of confidence, initiative and common sense;
  • A high degree of confidentiality, integrity and reliability;
  • A desire to work in a fun yet challenging people orientated environment, and
  • Experience in a similar PA position within the professional services/consulting engineering or construction industry (desirable but not essential);
