Due to an internal appointment, we have a vacancy for an Executive Assistant to the Managing Director.   The role is part-time (approximately 30 hours a week).

 

Responsibilities include:

  • Diary management including scheduling of multiple participants across multiple time zones
  • Organising and preparing complex travel itineraries
  • Screening and directing phone calls and correspondence, including central phone register
  • Organise expenses, (MasterCard and cash reimbursement)
  • Prepare monthly reports and general communications
  • Coordinate formal and informal company events
  • Coordinate company meetings
  • Proactively organise and prepare information including reports, presentations, conferences and material
  • Coordinate visitors to the site including itineraries for international visitors and accommodation
  • Work with other administrative support staff to form a cohesive team supporting business objectives
  • Support activities as required specific to the Managing Director & Head of Global Sales & Marketing
  • Personal objectives as documented in the Annual Performance Review 

 

To be successful in the role you will have:

  • In-depth experience in a similar role, e.g. Executive Assistant or Personal Assistant
  • Exceptional communication skills (written and verbal)
  • Excellent stakeholder management and uphold strict confidentiality at all times
  • Attention to detail and high regard for quality
  • MS Word, Excel and PowerPoint (minimum intermediate level)
