Who We Are
We are an award winning electrical, audio visual and home automation company offering tailor made, bespoke solutions to both commercial and residential customers. Based in Brookvale, this role is pivotal to our brand and is the first touch point for both our customers and employees. We have grown rapidly in the last few years and we need a professional and motivated new team member to help us manage our success.
About the Role
Working hours will be 9am to 5pm Monday to Friday. The successful applicant will be dependable with a proactive can-do attitude, exceptional time management and organisational skills, a friendly, professional disposition to run the office and assist customers and employees.
Key Responsibilities:
- Be the first point of contact for all clients, visitors and incoming calls
- Work as a PA to the Directors of Instinct
- Assist with end of month finance
- Assist with collecting weekly timesheets and overtime
- Manage the Instinct fleet of vehicles, including monthly audits, equipment & services
- Provide human resources support and events coordinating
- General administration duties including scanning filing, data entry and document management
- Stationery and amenities ordering
- Plan meetings and take detailed minutes
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system
- Update and maintain office policies and procedures including WHS
- Order office supplies and uniforms keep inventory of stock in warehouse
- Oversee the office kitchen and cleanliness
- Maintain contact lists
- Ad hoc duties as required
Requirements:
- Current NSW Drivers Licence
- Strong organisational skills with the ability to multi-task
- A confident and professional manner
- Advanced Google Suite and Microsoft Office skills
- Proven experience as an Administrative Assistant/Receptionist/PA
- Working knowledge of office equipment - printer, phone systems/ computers
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Professional written and verbal communication skills
- Ability to take on new work and adapt as the position grows or changes
You must also be comfortable working in a fast-paced environment where you will be required to take on ad-hoc tasks regularly - the ability to juggle tasks is essential!
