The Position

The Executive Assistant will join a dynamic team in Sydney, focused on creating new business ventures relevant to the digital economy in the vocational and higher education sectors. You will have an opportunity to work closely with a team of highly experienced professionals and to learn and contribute to exciting ideas that will influence future education locally and globally. You can gain exposure to innovative business development practices. As a minimum, the successful candidate must possess a bachelor degree or preferably a master degree in business administration or education or arts or related fields plus a minimum of 3 (ideally 5) years of relevant experience gained in Australia or abroad. Additional criteria include:

  • Highly developed oral and written communication skills
  • Proficient in the use of typical software, particularly MS Office or equivalent
  • Skills in authoring, collating and or editing business documents
  • Commitment to quality and pride in the accomplishment of excellence

POSITION DESCRIPTION

Position Focus

The Executive Assistant will work closely with the Vice President, Group Academic and Compliance as well as other related executives and teams.

Financial delegation and/or budget responsibilities: as per the ECA Delegations Policy and Schedule  

Core Duties (not exhaustive)

The core duties are:

  1. Contribute to development, documentation and presentation of the strategic projects in hand
  2. Support the Vice President and the Academic Director as well as other senior executives
  3. Develop or manage schedules, coordinate meetings, compile minutes and proceedings
  4. Manage documents, design, coordinate and author formal documents for statutory or regulatory or approval purposes
  5. Create or deploy tools and systems to expedite the work in hand
  6. Manage assignments, track project progress, convene meetings electronically and ensure deadlines are met
  7. Contribute to uthe tilisation of technology in presentation and branding for the broader stakeholders
  8. Undertake desk top research and compile summary reports, position papers etc.
  9. Complete all other tasks that are assigned to you by your supervisor or higher level executives

Essential selection criteria

  1. Possession of a degree in business administration, IT/IS or related fields
  2. Minimum 3 years of relevant experience, preferably in vocational or higher education organisations
  3. Ability to work without supervision to deliver to high standards and achieve project or organisational goals
  4. Excellent communication skills at all levels
  5. Ability to deliver accurately on time and within budget
  6. Proven ability to apply normal software to expedite completion of tasks and deliver projects in time
  7. Excellent document authoring, compilation and presentation skills

Desirable selection criteria

  1. Knowledge of regulatory requirements in the vocational and higher education sectors in Australia or abroad
  2. IT skills, including working with contemporary software
  3. Experience in working in multi-function teams and matrix organisations
