The Role

The EA’s role provides high level assistance to Arup’s Australasia Chief Operating Officer who is also a member of the Regional Board and manages the Australasia Management Committee meetings.  The role is based in our Brisbane office.

As a function of the COO’s role, many of these activities and relationships are regional, involving staff across Arup’s Australasia region.  This assistance will be achieved by ensuring the efficient and effective running of the office of the COO.  Key responsibilities will include:

  • Administer correspondence, manage incoming calls, prioritise phone messages, emails and mail efficiently and manage Outlook contacts
  • Contribute substantially to the preparation and construction of presentations, reports, and other documentation as directed
  • Extensive diary management, including flexibility in adjusting schedules to meet priority situations with a sound understanding of time zone management
  • Manage Region office visits and associated logistics
  • Organise international and domestic travel and other related arrangements
  • Meeting management including pre meeting briefings
  • Manage internal regular lunch catch-ups with a mix of Direct Reports and staff as required
  • Organise Australasia Management Committee meetings (video conference) monthly, including prepare agenda, take minutes and distribute same.
  • Event management as required
  • Build and develop relationships with all levels of Arup staff and take an active role in the EA/PA Network within the region.

You will be a career oriented EA with at least 5 years’ experience working at regional ‘C’ level which will include sound Board experience. The role requires a broad skill base, and a high degree of business acumen, technical capability, problem solving ability, initiative, flexibility and professionalism.  It also requires strong interpersonal and relationship-building skills. 

You will have advanced MS Office skills with the ability to pick up internal systems quickly.
