About the NHVR

The National Heavy Vehicle Regulator (NHVR) commenced operations in 2013 as an independent body responsible for regulating all vehicles in Australia over 4.5 tonnes gross vehicle mass. Located in Brisbane, the NHVR minimises the compliance burden on the heavy vehicle transport industry, reduces duplication and inconsistencies across state and territory borders, and ultimately for the heavy vehicle business with government in Australia.

About the role

Within the NHVR, the Productivity & Safety division is responsible for Safety Management Systems and Standards, Fatigue Manager and Electronic Work Diaries, Vehicle Standards, Performance Based Standards and administering the National Heavy Vehicle Accreditation Scheme.  In doing this, it sets and maintains standards for safe heavy vehicle operations and provides assurance services to assist industry to meet the standards.

The Project Support Officer is responsible for providing support to projects and programs of work, including management of internal and external reference group communications, maintaining project records and registers, drafting and developing reports, presentations and other project documentation.

Key Responsibilities/Accountabilities

  • Provide Secretariat function for internal and external Reference Group meetings.
  • Assist in the development of professional documents, including reports, presentations, Visio workflows, meeting packs, and general communications.
  • Assist with the collection, management and analysis of information, such as survey results, stakeholder feedback and status reports, for both internal & external stakeholders.
  • Effectively and efficiently manage meeting arrangements, including room bookings, invitations, catering requirements, logistics, and presentation set-up for both internal project and external stakeholder workshops.
  • Ensure project registers, including risk/issue register, decision registers and stakeholder lists, are updated regularly.
  • Effectively and accurately communicate project and portfolio information to relevant stakeholders and project teams including the maintenance of the project factsheets and relevant intranet sites.
  • Maintain and manage travel booking, processes and reconciliations processes.
  • Provide administrative support to the team in ensure program and project management records are accessible, collated and filed in accordance with NHVR standards and regulations.
  • Provide administrative support, including typing/editing documents, and ad-hoc administrative functions across various projects as directed by management.
  • Assist in the preparation of purchase order requisitions for engagement of staff or purchasing of materials and services.

Skills and Capabilities              

  • Demonstrated interpersonal skills and the ability to manage and build effective relationships with team members, external stakeholders to an executive level.
  • Effective written and verbal communication with an attention to detail coupled with a friendly yet warm and professional manner. A strong ability to communicate complex concepts and negotiate effectively across all levels of the organisation.
  • Excellent time management and the ability to multi-task and prioritise deliverables.
  • Advanced MS Word, MS PowerPoint skills with intermediate MS Excel and MS Visio and a working knowledge of records management is desirable.

Qualifications and Experience

  • Relevant experience in a similar role in Project/Program environment.
