Panthers Penrith have an exciting and rare opportunity for an Entertainment Administration Coordinator to ensure the efficient running of Club and EVAN Theatre shows, live music and Special Events within our amazing Club! Working closely with the Entertainment Operations Coordinator, you will assist in ensuring a strong focus on delivering the expected high customer entertainment experience and executing the strategic objectives of the Club.

 

The Main Duties and Responsibilities of this position will include, however are not limited to:

  • Coordinate with clients, artists and external providers to ensure all event/show requirements are being efficiently met;
  • Ensure effective organisational planning of shows and events;
  • Coordinate and work with the Reception team to ensure ticket, show and client contractual obligations are being met including the coordination of external ticketing systems such as Ticketek;
  • Assist with the creation and maintaining of all client and artist contracts and agreements;
  • Date entry and administrative duties including weekly and monthly reports, finalising invoices, completing purchases orders, recording insurance details of artists and assisting with End of Month processes;
  • Organising riders and ensure contractual obligations and delivery are being met at all times;
  • Assistance in pre and post debriefs for all major events / productions with all relevant stakeholders and conduct business analysis to evaluate success and revenue results;
  • Ensure signage requirements are being met;
  • Working closely with the Meeting & Events Team for shows and dance events, coordinating all requirements and ensuring that the event is managed operationally and successfully and;
  • Maintain effective internal and external business relationships by ensuring appropriate and timely communication.

     

To be successful in this role, you will possess the following attributes:

  • Knowledge and experience in an entertainment or event/theatre management role within the hospitality or entertainment industry;
  • Exceptional communication skills, both written and verbal;
  • Ability to deal with complex situations and think quickly on their feet;
  • Intermediate to Advanced computer skills with sound knowledge of the Microsoft Suite;
  • Outstanding attention to detail, organisational and planning skills;
  • Mathematical skills and understanding of financial spreadsheets and department budget figures;
  • Well developed and confident customer service skills coupled with the ability to show initiative in your position;
  • Highly motivated individual with a positive, can-do attitude!
  • Proven ability to work well with others to achieve team and individual goals and;
  • Ability to multi-task, achieve deadlines and adhere to schedules.

 

Within this exciting role, you will be available to work 4 days and approximately 32 hours per week. The role will require flexibility to work nights, weekends and public holidays to meet the operational requirements of the role to ensure the smooth running of major shows and events.
