The role

This position supports our Transport & Resources (T&R) group to coordinate and produce small tender and bid documents.  You will also assist senior business administrators with administration support as required.

Your background will include 2 – 3 years’ experience assisting a team that produced bid and/or tender documents as well as some sound administration team support.  Key responsibilities will include:

  • Setting up document templates and outlines
  • Formatting tender documents
  • Simple diagram production using Visio or similar
  • Version control of tender documentation involving multiple contributors
  • Bid document layout, assembly, proofing and production
  • Creation and animation of PowerPoint presentations
  • Coordinate specific tender activities as part of tender processes, including following up contributors for timely inputs
  • Curricula Vitae updates and maintenance
  • Administrative tasks related to bidding including, electronic filing, coordinating internal processes, organising couriers and deliver, other relevant duties as required.
  • General administrative tasks within the group, relating to meetings, forums, conferences, etc. - preparation of presentations, agendas, papers, minutes, booking, preparation and clean-up of meeting rooms, etc.

Key skills, experience & attributes required:

  • Solid experience supporting the coordination/production of bids and/or tenders
  • Advanced Word, Visio and PowerPoint
  • Strong attention to detail and formatting experience
  • Excellent stakeholder management skills
  • Exposure to dealing with invoicing, time sheets, purchase orders etc.
  • Proven team player with the ability to juggle multiple priorities
