Board Support Job in Federal Government 12 months contract in Melbourne CBD

Your new company
My client is a busy Federal Government organisation seeking a professional, highly organised and ambitious Board Support Officer to come on board for a 12 month fixed term contract. The purpose of the role is to work as part of a team providing professional informed secretariat and governance support to the Boards and Committees.


Your new role
Reporting to the Manager in Board Services you will:

  • Assist with the management of all Board and Committee communications to internal and external stakeholders
  • Coordinate all correspondence and enquiries relating to board, committee meetings and any other relevant matters
  • Organize the preparations for workshops, seminars, meetings, teleconferences and videoconferences including all venue arrangements
  • Process board member monthly expenses and reconcile credit card statements
  • Manage the records and board and committee meeting outcomes and maintain the electronic filing systems in accordance with the organisation’s policies
  • Ensure timely distribution of documentation to appropriate parties adhering to the correct format and using relevant technology
  • Liaise with all internal stakeholders in relation to agenda items and papers
  • Foster a collaborative working relationship with Board and Committee Chairs as well as the Executive Officers
  • Organise the availability of all facilities as required



What you'll need to succeed
To be successful in the role you will need to have demonstrated the following:

  • Demonstrated experience in providing secretariat functions in a complex environment (corporate or public sector). This can include supporting boards, committees and sub committees
  • Demonstrated the ability to work closely with executive and senior managers and key external stakeholders
  • Proven ability to forge and maintain productive working relationships
  • Excellent IT skills - ability to learn and quickly develop proficiency in new technologies and systems
  • Demonstrated ability to exercise judgment and resolve issues independently
  • Demonstrated adaptability and responsiveness within a rapidly evolving work environment
  • Exceptional communication skills, including writing of agendas, minutes and correspondence
  • Demonstrated ability to prioritise and meet tight deadlines
  • Excellent customer service and focus on meeting the expectations of internal and external customers
  • Exceptional work ethic and drive to succeed
  • Strong understanding of how governments regulate in the public interest and consultation processes



What you'll get in return
In return you will receive an hourly rate of $36 ph + super. Occasional travel interstate may also be required. Additionally, you will gain valuable experience working in a fast-paced Federal Government organisation and the opportunity to provide high level support to this dynamic, successful organisation.
