The Role
The Policy & Advocacy unit provides the College with advice on policy development so that it can be engaged in the health policy debate which affects the Fellowship and trainees, while also aiming to influence health policy in Australia and New Zealand..
The primary purpose of this role is to provide high level administrative support to the Policy & Advocacy unit including project support, membership engagement and systems administration.
Your duties will include:
- Executive level administrative support to the P&A Unit, including preparation of correspondence to external stakeholders and College members, as well as supporting the preparation of reports and briefs to inform Policy Officer decision making
- Management of Policy & Advocacy Unit inboxes
- Liaise with Specialty Societies, Divisions, Faculties and Chapters and external stakeholders
- Act as point of contact and field enquiries from policy and advocacy committee members for committee related matters
- Assist in maintaining electronic and hard copy records of policy and advocacy committee related papers and minutes
- Manage the calendar of committee meetings and organise and administrate teleconferences and face to face meetings
- Organise the policy and advocacy committee travel
- Oversee and manage policy and advocacy committee related costs and expenses
- Assisting in the preparation of proposals to revise processes, methods and procedures
- Assist with the coordination of projects under the direction of the Policy & Quality Liaison Manager, including College policy marketing and advocacy campaigns
- Support the Policy & Quality Liaison Manager to ensure the best possible level of service delivery is achieved for all stakeholders.
The Successful Candidate
- Experience in providing secretarial and administration support to a team
- Experience in correspondence and report development
- Strong initiative, problem solving skills and the ability to identify potential issues and solutions
- Excellent verbal and written communication skills with an ability to deal across all levels of an organisation
- Strong project support and research skills particularly in the support of briefs and business case preparation
- Proven ability to prioritise, multitask and work under pressure within the context of tight deadlines
