Personal AssistantProvide timely, high-level executive, business and secretarial support to the Chair and CEO to facilitate the day to day operations of the office.
Key Accountabilities
- Manage the Chair and CEO diary ensuring it accurately reflects each day’s activities, adding appointments consistent with the assessed importance of each matter.
- Manage incoming correspondence to the Chair and CEO, including review and identification of critical issues, determine priority, redirecting documents where necessary, and ensure appropriate allocation and follow-up.
- Coordinate access to the Chair and CEO evaluating proposed meetings and, where appropriate, recommending delegation to other senior staff.
- Coordinate briefings for the Chair and CEO to ensure adequate information is provided prior to each appointment/meeting and compile daily briefing folders and notes.
- Develop high quality, well-presented correspondence, briefings and reports in relation to matters the Chair and CEO is managing personally.
- Undertake research at the request of the Chair and CEO in relation to specific topics and support services requirements.
- Organise the Chair and CEO’s meetings by coordinating and disseminating agendas, papers and minutes, and organise catering and venue preparation as necessary and organise itineraries and travel for field visits, ensuring all relevant details are completed in advance and on completion of travel
- Maintain effective records management systems.
- Previous experience as a Personal Assistant or equivalent
- NSW Government experience highly regarded
- Excellent written and verbal communication skills
- Experience maintaining a records management system i.e. TRIM/CM9
- Ability to work autonomously and prioritise tasks
